We’re Hiring: Purchase Specialist

About the Role

Join our team as a Purchase Specialist! The successful candidate will support procurement operations by managing purchasing documentation, supplier onboarding, contract administration, payment processing, and procurement records while ensuring compliance with company policies and the timely acquisition of goods and services.

Responsibilities

  • Prepare and administer one-time procurement contracts by drafting contract documentation, coordinating internal approvals, monitoring the contract signing process, and ensuring all executed contracts are properly filed and tracked.
  • Coordinate supplier onboarding and access by facilitating supplier registration, verifying required documentation, maintaining supplier records, and ensuring suppliers are successfully onboarded into the company’s procurement systems in compliance with organizational policies.
  • Manage supplier reconciliations and payment applications by reconciling supplier statements with purchase orders and invoices, verifying supporting documentation, preparing payment requests, and liaising with the Finance Department to ensure timely and accurate supplier payments.
  • Maintain and manage offline procurement records by organizing, updating, and safeguarding physical procurement documents, including contracts, purchase orders, supplier files, invoices, and payment records, while ensuring records are complete, accurate, and readily available for audits and reference.

Qualifications

  • Bachelor’s Degree in Procurement and Supply Chain Management, Business Administration, , or a related field.

Required Skills

  • Good understanding of procurement processes and purchasing documentation.
  • Proficiency in Microsoft Office Suite, especially Excel, Word, and PowerPoint.
  • Knowledge of SAP, SRM, or other ERP procurement systems.
  • Strong analytical and numerical skills.
  • Excellent organizational and documentation skills.
  • High level of accuracy and attention to detail.

Preferred Skills

  • Minimum of 1–2 years’ experience in procurement, purchasing, or procurement administration.
  • Experience using Supplier Relationship Management (SRM) systems is required.
  • Experience with SAP procurement modules is highly preferred.
  • Experience in a manufacturing environment is an added advantage.
