As we grow our retail and e-commerce presence, we are strengthening our internal operations and are looking for a hands-on, highly accountable Operations & Inventory Assistant to support our workshop and production processes.

 

Role Overview

The Operations & Inventory Assistant plays a critical role in the day-to-day running of the ILISAH workshop.

This role sits at the center of operations, ensuring:

  • Materials are controlled and accounted for
  • Production runs efficiently and on schedule
  • Quality standards are consistently met
  • Inventory across the workshop and store is accurate

This is a hands-on, high-responsibility role requiring strong organization, attention to detail, integrity, and a proactive approach to problem-solving.

 

Key Responsibilities

 

1. Inventory Management (Core Responsibility)

  • Maintain accurate, up-to-date records of:
  • Fabrics and raw materials
  • Accessories and packaging
  • Finished products
  • Control access to inventory and ensure proper issuance of materials
  • Track materials issued vs products returned
  • Conduct daily and weekly stock checks
  • Report and investigate any discrepancies immediately

2. Production Planning & Coordination

 

  • Support the planning of daily and weekly production schedules
  • Allocate materials to tailors based on approved plans
  • Ensure all team members have the necessary materials and instructions
  • Monitor production progress and flag delays or gaps

3. Production Tracking & Team Accountability

 

  • Maintain a daily production tracker for all tailors and embroidery staff, including:
  • Time in and time out
  • Products worked on
  • Quantity produced
  • Quantity passed and failed quality control
  • Ensure all records are completed accurately and daily
  • Monitor individual performance and highlight:
  • Low productivity
  • Repeated quality issues
  • Link materials issued to final output to ensure accountability

4. Quality Control

 

  • Inspect finished products before:
  • Packaging
  • Delivery
  • Display in store
  • Ensure all products meet ILISAH’s quality standards
  • Return substandard work for correction and track repeat errors

 

 

5. Boutique / Store Inventory

 

  • Maintain accurate inventory for the retail/store section
  • Ensure proper organization and display of products
  • Track stock movement and prevent loss or misplacement

6. Logistics, Deliveries & Errands

 

  • Coordinate deliveries to clients and stockists
  • Support order dispatch and fulfillment
  • Run workshop-related errands including sourcing materials and supplies
  • Support ILISAH during pop-ups and events

7. Reporting & Documentation

 

  • Maintain clear daily records of:
  • Inventory movement
  • Production activity
  • Quality control outcomes
  • Prepare a weekly report summarizing:
  • Production output vs targets
  • Inventory status
  • Quality issues
  • Challenges and recommendations

8. Process Improvement

 

  • Identify inefficiencies in production and workflow
  • Suggest improvements to reduce waste and increase efficiency
  • Support implementation of simple operational systems and processes

Requirements

 

  • Diploma in Business management, Supply Chain, or a related field
  • Strong organizational and record-keeping skills
  • Basic proficiency in Google Sheets / Excel
  • Strong attention to detail and accuracy
  • Ability to work independently and take initiative
  • Good communication and coordination skills
