Role Description
The Declaration Officer is a full-time, on-site role, responsible for preparing and submitting accurate customs declarations and related documentation for imported vehicles and freight. The role involves gathering shipment details, verifying compliance with customs regulations, and coordinating with internal teams, clients, and customs officials to ensure timely clearance. The Declaration Officer will track shipment status, monitor clearing timelines, and proactively identify and resolve issues or delays at ports and relevant authorities. Day-to-day tasks include data entry into customs systems, maintaining organised records, responding to client queries on duty calculations and documentation requirements, and supporting the logistics team with up-to-date clearance information. The role also contributes to process improvement by flagging recurring documentation issues and suggesting more efficient workflows.
Qualifications
- Strong knowledge of customs procedures, import regulations, and documentation standards for automotive and general freight including NTSA TIMS and preparation of IDF & entries through KenTrade
- Proficiency in data entry, document preparation, and use of customs and logistics platforms (e.g., ICMS).
- Excellent attention to detail, numeracy skills for duty and tax calculations, and ability to verify accuracy of declarations and CIF values.
- Effective communication and customer service skills for liaising with clients, customs officials, and internal teams in a clear, professional manner.
- Strong organisational and time management abilities to handle multiple shipments, meet strict clearance deadlines, and maintain orderly records.
- Problem-solving skills and a proactive approach to identifying potential delays, documentation gaps, and compliance risks.
- Prior experience of not less than 2 years in customs clearance, freight forwarding, or logistics operations, preferably within the automotive sector.
- Diploma or degree in Logistics, Supply Chain Management, Business, or a related field; relevant professional certification in ICMS or EACFFP
- Be able to drive as a means of transport in Nairobi. Ability to ride a motorbike is an added advantage.
