Core Responsibilities
1. Coordination of quality and safety Activities
- Proactively liaise on daily quality & safety operational activities with shops, back office, quality team and warehouses managers
- Liaise with Systems Coordinator and ensure proper documentation of quality assurance and traceability records in all shifts and areas of work according to Healthy U systems and that they are approved, maintained and closed at all times (Quality records, CAPA records, RCA records, Traceability records, Audits reports among others)
> In liaison with the quality team, handle of all quality related NCPs and customer complaints in retail shops & stores, back offices, bulk bins and warehouses and follow up on the corrective actions’ implementation/ verification.
2. Quality and safety compliance
- Monitor qualitatively all the supermarkets and retail shops & stores, back offices & bulk bins internal quality processes to ensure quality compliance of the final products outputs
- As scheduled (weekly, monthly, quarterly and annually) carryout warehouse, retail shops, back offices & bulk bins GMP (eg. hygiene & infestation, traceability, FIFO/FEFO among others) audits and prepare reports to the quality head for further actions.
- Ensure the quality & hygiene policies/protocols are observed at retail shops & stores, back offices & bulk bins
- Carry out inline quality assurance monitoring roles for all the processes including and not limited to weights, sampling, coding and coding verification of samples & products, basic analysis for purposes of process approvals and final quality checks/approvals before shelf placement of products at the retail shops & stores and bulk bins.
- Ensure work instructions, procedures and timely records are in-place and are well followed by the retail shops, back offices & bulk bins and warehouses staff.
3. Training & Evaluation
- Schedule quarterly and need basis quality and safety technical trainings
- Carryout quarterly technical and quality trainings and evaluation for quality retail shops & wholesale outlets staff to help them understand and implement the quality, hygiene and safety standards of the products as per company laid policies.
4. QMS (Quality Management Systems) & FSMS (Food Safety Management Systems) Compliance
- Reporting any identified critical compliance risks and recommendations to the Quality head
- Ensure there is continuous Improvement efforts within Retail shops and Wholesale Outlets
> Revain and operation to runny.
- Revision and updating of the quality assurance documents and procedures/ work instructions in retail shops, back office, bulk bins and warehouses.
- Monitoring of the NCPs, market returns, damages and conduct root cause analysis ensuring CAPA are effectively closed.
- Prepare weekly, monthly, quarterly and yearly retail market returns, GMP, Quality & Safety analysis and give recommendations on improvements
- Contribute to the realization of the Quality Department budget and Cost Saving targets; by ensuring reduction of NCPs, market returns and zero recalls at wholesale and retail outlets.
- To keep at all times the Quality head informed in liaison with the quality team with respect to company property including breakdowns, tear and wear, calibration.
- Supervision of outside agencies and third-party repairs and services are done well i.e. maintenance, servicing, cleaning and fumigation/ pest control
- Assuring ongoing compliance with quality and industry regulatory requirements.
- Ensuring compliance of all products (imports & inhouse processed/ repackaging) with the existing Quality programs (GMP/HACP/ISO 9001:2015, ISO 22000:2018)
and Healthy U
approved policies, procedures and that they are followed at all times within the operational areas.
- Ensure work is done in accordance with regulatory & statutory standards and other guidelines required by Law and by Healthy U Ltd (e.g. HACCP, GMP, HSE, OSHA, Pharmacy & poisons Board among others)
- Provide data and analysis on KPI’s and makes sure all retails shops
5. Waste Management (dry, liquid & plastic waste)
• Following the company & regulatory protocols and in liaison with the quality manager, procurement/finance head, security and warehouse head; assist in the waste disposal process at the warehouses and retail shops/ stores, back office & bulk bins and sharing the quantitively/ qualitative records of the same with the relevant stakeholders including the Quality head.
6. Traceability/ Stock Rotation
- Ensuring specific stock rotation system that includes FEFO principles in conjunction with FIFO requirements are followed in retail shops/ stores, back office and Bulk Bins as per the established SAP programs.
- Ensure the traceability procedure and records are implemented at the retail shops/ stores, back office and Bulk Bins.
7. Communication:
- Communicate quality-related information and expectations to all levels of the organization.
- Collaborate with other departments to address cross-functional quality issues.
