The Administration Coordinator, will oversee office administration and workplace support services, ensuring efficient day-to-day operations. The role is responsible for office hygiene, visitor management, travel and accommodation coordination (including executive travel), staff experience initiatives, vendor supervision, and administrative compliance.

Key Responsibilities

Office Administration

• Oversee daily administrative operations across assigned offices.

• Supervise front office and reception services.

• Manage office supplies, consumables, and asset registers.

• Ensure proper documentation, filing systems, and administrative controls.

• Coordinate meetings and internal logistics.

 

Visitor Management

• Oversee visitor reception and registration processes.

• Ensure visitor badges and access approvals are properly managed.

• Maintain accurate visitor logs for audit and security compliance.

• Coordinate executive and board-level visits.

• Ensure compliance with safety protocols for all visitors.

 

Hygiene & Cleaning Oversight

• Supervise cleaning contractors and hygiene teams.

• Ensure offices and common areas meet cleanliness standards.

• Oversee waste management and pest control schedules.

• Conduct routine inspections and enforce hygiene standards.

 

Travel & Accommodation Management

• Coordinate local and international travel arrangements.

• Manage flight bookings, hotels, transfers, and taxi services.

• Ensure compliance with travel policies and cost controls.

 

Staff Experience & Workplace Support

• Support onboarding including workstation setup.

• Coordinate employee welfare and engagement initiatives.

• Maintain staff amenities and shared spaces.

 

Vendor & Contractor Management

• Supervise service providers and ensure SLA compliance.

• Review vendor performance and support contract renewals.

 

Compliance & Controls

• Manage petty cash and administrative budgets with accountability.

• Ensure compliance with company policies and regulatory requirements.

• Maintain documentation for audits and internal reviews.
