1. Job Purpose
The Accountant is responsible for the full accounting function of Nexgen Fuel Works Kenya Limited, operating as a sole-charge accountant who owns the complete finance cycle end-to-end. This includes bookkeeping, accounts payable and receivable, payroll, statutory and tax compliance, financial reporting, budgeting, fixed asset and fuel stock control, and support for audits and management decision-making. The role requires a hands-on, detail-oriented professional capable of independently managing all accounting activities and safeguarding the financial integrity of the company.
2. Key Duties and Responsibilities
General Ledger & Bookkeeping
- Maintain the general ledger and ensure all financial transactions are accurately recorded and properly
- Post journal entries, accruals, prepayments, and month-end adjustments.
- Perform month-end and year-end closing procedures within set deadlines.
- Maintain an organised, audit-ready filing system for all financial and accounting records.
Accounts Payable & Receivable
- Process supplier invoices, verify accuracy, and ensure timely and accurate payments.
- Raise customer invoices, monitor receivables, and follow up on outstanding debts.
- Reconcile supplier and customer statements and resolve discrepancies promptly.
- Maintain and monitor a credit control process to minimise bad debt exposure.
Bank, Cash & Treasury Management
- Perform daily/weekly bank and cash reconciliations across all company accounts.
- Monitor cash flow and working capital, flagging shortfalls or surpluses to management.
- Manage petty cash and ensure proper authorisation and documentation of disbursements.
Payroll
- Process monthly payroll accurately and on time, including statutory deductions.
- Ensure timely remittance of PAYE, NSSF, SHIF/HIF, NITA levy, and HELB deductions where applicable.
- Maintain payroll records and respond to staff payroll queries.
Tax & Statutory Compliance
- Prepare and file all statutory returns via iTax, including VAT, PAYE, Withholding Tax, and Excise Duty where applicable to fuel operations.
- Ensure timely remittance of all taxes and levies to avoid penalties and interest.
- Keep abreast of changes in Kenyan tax law and Energy & Petroleum Regulatory Authority (EPRA) requirements, and ensure the company remains compliant.
- Liaise with the Kenya Revenue Authority and other regulators during audits, inspections, and queries.
Financial Reporting & Analysis
- Prepare monthly, quarterly, and annual financial statements (Profit & Loss, Balance Sheet, Cash Flow Statement).
- Provide management with accurate and timely financial reports and variance analysis.
- Prepare board/management packs and ad-hoc financial reports as requested.
Budgeting & Forecasting
- Support the preparation of annual budgets and periodic financial forecasts.
- Track actual performance against budget and report significant variances.
Fixed Assets, Inventory & Fuel Stock Control
- Maintain the fixed asset register, including additions, disposals, and depreciation schedules.
- Reconcile fuel stock/inventory records against physical dips, deliveries, and sales on a regular basis.
- Investigate and report on stock variances, losses, or discrepancies.
Internal Controls & Audit Support
- Implement and maintain sound internal financial controls to safeguard company assets.
- Coordinate with external auditors and provide schedules, reconciliations, and supporting documentation.
- Support implementation of audit recommendations and improvements to accounting processes.
Other Duties
- Liaise with banks, insurers, suppliers, and regulatory bodies on financial matters.
- Support procurement and contract review from a financial and cost-control perspective.
- Undertake any other accounting or finance-related duties assigned by the Managing Director/General Manager.
3. Qualifications & Professional Requirements
- Bachelor’s degree in Accounting, Finance, Commerce, or a related field.
- CPA(K) or ACCA qualification (fully qualified; part-qualified candidates with strong experience may be considered).
- Membership with ICPAK in good standing is an added advantage.
4. Experience
- A minimum of 5 years’ hands-on accounting experience, with demonstrated ability to independently manage a full set of books.
- Prior experience in the fuel, oil & gas, energy, engineering, construction or fast-moving distribution sector is an added advantage.
- Proven experience handling statutory compliance, payroll, and financial reporting without close supervision.
5. Skills & Competencies
- Proficiency in accounting software such as QuickBooks & Odoo.
- Strong working knowledge of Microsoft Excel and other MS Office applications.
- Sound knowledge of Kenyan tax law, iTax, and statutory compliance requirements.
- High level of integrity, confidentiality, and professional ethics in handling financial information.
- Strong analytical, numerical, and problem-solving skills with keen attention to detail.
- Excellent organisational and time-management skills, with the ability to meet strict deadlines.
- Ability to work independently in a sole-charge finance role while communicating effectively with management.
- Good interpersonal and communication skills for liaising with banks, auditors, and regulators.
6. Key Performance Indicators
- Timeliness and accuracy of monthly financial statements and management reports.
- 100% on-time filing and payment of statutory obligations (VAT, PAYE, NSSF, SHIF, Withholding Tax, etc.).
- Accuracy of payroll processing and absence of compliance penalties.
- Bank and stock reconciliation accuracy and timeliness.
- Effectiveness of debtor management and reduction in outstanding receivables.
- Clean audit findings and timely closure of audit recommendations.
