Parts Operation-Logistics –Customer Service Division (CS) – Kenya

Job Purpose;
The jobholder will ensure efficient parts Operations while ensuring timely delivery and high accuracy levels to provide high quality customer service to Samsung service partners.
Key Objectives
Parts Operations
- Inbound management: Order desk (Purchase order allocations/cancel, tracking, Part Back Order)
- Shipment expediting with vendors to ensure prompt supply requests, negotiating for parts quantity with vendors, System confirmation of shipments and Good Receiving processing.
- Outbound: Delivery order (DO), Reverse logistics (returns & Credit notes)
- Warehouse: Inventory management (stock levels, accuracy, non-moving & surplus scrap, Parts Pricing, Insurance, facilitate parts stock take when required
- Contract management (Vendors both inbound & outbound, Service Centre Parts contracts)
- Share daily Parts ETA report to ASCs and to Service team.
- Customer order management – advice on parts availability, cancel Purchase Orders (POs), and review replacement requests related to Parts issues.
- Timely upload of Delivery data (Proof of Delivery, POD data upload)
- Parts Queries and email responses to service partners
- Service parts KPI management.
Shipping & Logistics
- To monitor processing of IDF and COC documents forwarding of the same to the parts vendor for pre-shipment inspection
- Shipment tracking follow-up with logistics partners i.e DHL , SIGNON, Bollore
- Follow up with Finance team on tax payment
Liaison with Vendors and Third Party agents
- To ensure prompt communication to vendors about damages, shortages and discrepancies found during receiving
- Monthly invoice requests and closing for Logistics partners and vendors
- Follow up on assigned CS tasks
- Parts Processtraining to service centre PIC
Reporting
Preparation of reports
- Back order reports
- ETA reports
- Parts stock and excess stock reports
- Parts scrap reports
- Any other Ad Hoc report required
Required competencies and attributes
- Degree in a business related field.
- Professional qualifications in Procurement and supplies will be an added advantage.
- Minimum 3 years’ experience in supply chain, warehouse or logistics related job.
