Position:

Position Lumos is seeking a highly organised and detail-oriented Finance and Administrative Officer to support the effective running of our Kenya country office.

Reporting to the Finance and HR Manager, this role plays a critical part in ensuring strong financial management, compliance, and efficient office operations. You will support accounting processes, procurement activities, and day-to-day administration, enabling the smooth delivery of Lumos programmes.

Key responsibilities include: Finance & Accounting

  • Process and record financial transactions in line with organisational and national policies
  • Maintain accurate financial records and filing systems
  • Support budget monitoring, reconciliations, and expenditure tracking
  • Assist in preparing financial reports (monthly, quarterly, annual)
  • Support audits and ensure compliance with donor and statutory requirements

Procurement

  • Support procurement processes in line with Lumos policies
  • Assist with tendering, contracting, and supplier due diligence
  • Prepare and manage procurement documentation

Administration & Office Operations

  • Coordinate office logistics, meetings, and travel arrangements
  • Manage correspondence and documentation
  • Maintain office supplies, equipment, and asset tracking
  • Support staff with administrative and operational queries
  • Ensure smooth day-to-day functioning of the office

This is a varied role requiring strong attention to detail, organisation, and the ability to manage multiple priorities effectively.

Requirements:

Requirements Essential:

  • Degree in Accounting, Finance, Business Administration, or a related field
  • Minimum 3 years’ experience in finance, accounting, or administrative roles (preferably within an NGO or international organisation)
  • Strong understanding of accounting principles and financial processes
  • Experience supporting budgeting, reporting, and financial compliance
  • Knowledge of procurement processes and administrative systems
  • Proficiency in Microsoft Office (especially Excel) and accounting software
  • Strong organisational skills with the ability to manage competing priorities
  • Excellent written and verbal communication skills
  • High level of integrity, accuracy, and attention to detail

Desirable:

  • Experience working with donor-funded programmes
  • Experience liaising with government authorities and external stakeholders
  • Familiarity with Kenyan regulatory and compliance frameworks
