The Kenya Health Informatics Association (KeHIA) is a professional association dedicated to advancing digital health, health informatics, interoperability, and health information systems strengthening in Kenya and across Africa.

KeHIA works with government institutions, academic institutions, digital health professionals, and development partners to support innovation, knowledge exchange, and capacity strengthening within the health informatics ecosystem.

About the Role

KeHIA is implementing a donor-funded project focused on expanding the reach of the openiMIS African Regional Knowledge Hub, a platform for supporting health financing and social protection schemes across Africa. The project is in its final implementation phase (June-July 2026) and involves in-person capacity building events, a Women in Tech webinar series, and community engagement activities.

KeHIA is seeking a proactive, organised, and enthusiastic intern who will work directly with the Project Manager to ensure the smooth delivery of all remaining project activities. The role combines event coordination, communications, content creation, digital engagement, and reporting support. Most of the work is remote, with mandatory in-person attendance during events.

This internship offers hands-on exposure to digital health programmes, regional stakeholder engagement, health informatics coordination, and project implementation within a fast-paced professional environment.

Key Responsibilities

A. Event Coordination & Logistics

  • Assist the Project Manager in all pre-event planning and coordination for the in-person hackathon events.
  • Conduct venue checks before events to confirm the space is clean, properly set up, and ready for participants
  • Coordinate with the academic institution’s team to ensure refreshments, meals, and all catering are in place and properly distributed throughout the event day(s)
  • Monitor participant registration and attendance on the day, managing sign-in sheets and ensuring no participant is turned away or overlooked
  • Liaise with the venue team, caterers, and technical staff during events to resolve any on-the-ground issues quickly
  • Ensure all KeHIA and donor-branded materials (banners, handouts, name badges, certificates) are present and properly displayed at events
  • Support the distribution of printed materials, participant packs, and refreshments throughout the event
  • Take structured meeting and technical session notes during workshops, webinars, hackathons, and stakeholder engagements to support reporting, follow-up actions, and knowledge documentation.
  • Assist with post-event pack-down and return of any materials or equipment

B. Photography & Visual Documentation

  • Serve as the primary photographer for all in-person events (hackathon, any workshops)
  • Capture high-quality photographs of participants, sessions, speakers, and event
    atmosphere for use on KeHIA’s website and Linkedin page
  • Organise and label all photographs clearly after each event and submit them to the Project Manager within 24 hours
  • Create short-form visual content (e.g. event highlight carousels) suitable for Linkedin from event photographs
  • Ensure all photography is done with participant consent in accordance with GDPR and donor data privacy requirements (consent forms will be provided)

C. Communications, Outreach & Social Media

  • Create event promotion posters and digital flyers for the hackathon and webinar sessions, using KeHlA and donor branding guidelines
  • Draft and schedule Linkedin posts to promote upcoming events, share event highlights, and amplify the open|MIS Women in Tech webinar series
  • Support outreach efforts to ensure target participants are informed about events, which includes drafting outreach emails, messaging participants, and following up on registrations
  • Monitor LinkedIn engagement (likes, comments, shares, follower growth) and report weekly to the Project Manager
  • Repurpose LinkedIn content for the KeHIA website, adapting copy and visuals as needed
  • Maintain a simple content calendar tracking what has been published, what is scheduled, and what is planned
  • Support the Communications & Publications Consultant on webinar promotion where needed

D. Reporting Support

  • Compile post-event documentation: attendance lists, participant feedback summaries, photograph sets, and notes
  • Draft sections of the six-monthly progress report as directed by the Project Manager, which includes summarising event outcomes, listing outputs, and collating supporting evidence
  • Maintain a running log of all project activities, outputs, and evidence throughout the internship. This becomes the primary source document for the final report
  • Support the Project Manager in gathering any outstanding information needed to complete the final donor narrative report.

• Track and organise all receipts, invoices, and financial documentation from events, submitting them to the Project Manager and Finance Manager in a timely manner

E. General Project Support

  • Attend weekly check-in calls with the Project Manager
  • Respond to communications and assigned tasks within one working day
  • Proactively flag any issues or risks to the Project Manager as soon as they are identified
  • Support any other project tasks as reasonably requested by the Project Manager

Work Arrangement

Primarily remote, with occasional support required during virtual and in-person project activities and events.
