Role Summary:

We have an exciting opportunity for a Senior Operations Coordinator to join our team in Mombasa. The purpose of this position is to ensure tasks related to port operations are run smoothly and in the most effective way.

Location: Mombasa, Kenya

Key Duties and Responsibilities:

Prepare Vessel Call at Mombasa

  • Check and share berth window/prospects and actual schedule with Shipping Lines and partners.
  • If the berthing window is not respected, (re) negotiate the berthing schedule with the terminal.
  • Collaborate and negotiate with port, stevedores, terminal and authorities to achieve most efficient port call and achieve best performance and cost saving to our principal.
  • Order gangs/cranes and communicate call sequence with Shipping line that we operate.
  • Declare port & vessel clearance.
  • Report to principal on port and terminal capabilities, changes, events and constraints and opportunities that principal can participate.
  • Order and coordinate husbandry/stevedoring services.
  • Order and monitor supply and other services (e.g Cash to Master, sludge, waste etc).

Vessel Operations at Mombasa

  • Provide cargo documentation to the vessel.
  • Follow, order and coordinate services (Husbandry & Stevedoring incl. mooring bunkering & departure to report to our principal.
  • Maintain good relationships with the terminal management of ports, terminal supervisors, stevedores, authorities and all stakeholders.
  • Generate reports (TDR, Arrival and Sailing) according to deadliness agreed with our principal.
  • Share loading and discharging plan with stevedores.
  • Manage and monitor terminal services.
  • Coordinate vessel sailing.
  • Alert Line Manager, Shipping line and vessel planner if any incident occurs during our/partner vessel operations at terminal that be impacting our/partner vessel calls and propose the mitigate plan.
  • Monitor and report procurement of terminal services and husbandry
  • Monitor and report ongoing operations and productivity

Cargo Operations

  • Ensure high collaboration between Export Department to ensure cargo readiness for a smooth workflow and efficiency.
  • Ensure all working procedures with all stakeholders/partners are being followed.
  • Ensure all Line Transshipment containers are ready for a smooth cargo handling operation and efficiency.
  • Ensure all line empty containers are delivered to port in good time and coordinate with the equipment control department for a smooth loading operation.
  • To be proactive to solve in solving all issues and ensure smooth cargo operations on all our vessels.
  • Ensure all departments are aware of operational consequences and extra costs and collaborate with partners/stakeholder to reduce mitigation plan.
  • Coordinate vessel sailing.
  • Coordinate with local IT Department the EDI development needs for further exchange with stakeholders.

Cost Management

  • Monitor all operational costs and focus on reductions on each stage of the port call.
  • Review and approve for payment all terminal expenses before payment is initiated by the accounts team.
  • Collaborate with Procurement and principal for contracts and SLAs and highlight operational and financial requirements.

Who You Are:

  • 3 years of experience in a related field
  • Knowledge in shipping and port processes
  • Good oral and written communication skills in English
  • A full valid driving licence
  • Bachelor’s degree (desirable)
